Scaleability
- True client/server. Scaleable from small departmental Local Area Networks (LANs) to enterprise wide solutions. Allows corporate communication over Wide Area Networks (WANs). Documents can be viewed, approved and issued over geographically dispersed sites. Encourage teamwork and team effort.
- Can handle many thousands of corporate documents.
- Web enabled for document viewing on corporate Intranets when combined with IntraVista Pro web client .
Standards and Compliance Management
- Information for Quality Management Systems (ISO9000), Health & Safety, and Environmental Management (ISO14000) is supported and controlled.

Open Architecture

- Documents are viewed or edited using standard Windows applications : Word processors, Flowcharting software, Project planning and many others.
- Specialist applications such as CAD drawings or Business Process modelling also supported.
- No need to retype documents. Simply Import single or multiple documents using Drag and Drop.
- Different viewing and editing applications can optionally be nominated for any given document. Users can view documentation using a low cost or free viewing package without access to the software used to create the document.
Ease of Use and Functionality
- On-line creation, review, approval and issue of documents. Quick and easy document retrieval through the use of document attributes, filters and keywords.
- Create and maintain corporate logos or identities through document templates.
- Automatic distribution and notification of issued documents via e-mail. Eliminate the 'paper trail'.

Workflow and Messaging
- Strict document control cycle. New revisions can only be generated as a result of Change Requests approved by relevant parties. At any stage of the document control cycle, the status of a document is available at the click of a button.
- On-line document history/audit trail builds up automatically, detailing each workflow stage.
- Messaging facility allows users to be notified of changes to a document. Individuals or groups can be prompted to approve or action such change. This promotes document ownership throughout an organisation.
- Document Review allows users to enter comments or requests before a draft document is approved.
- Dynamic Personnel Groups cater for changes in staff structure or responsibilities. For promotions or new members of staff, automatically issue the individual with all documentation relevant to their groups or teams.
- Check in/Check out features allow documents to be edited by users not connected to the network, yet still maintain security and control.
Security and Control
- Within Workbench documents are stored in a database and are not left in the computer's file system. There is no opportunity for documents to be accidentally or maliciously damaged, deleted or copied.
- Document access is strictly controlled. Only personnel with the appropriate access rights may view documents controlled within Workbench, this includes secure access via our IntraVista web products
- Users are only able to access documents for which they are authorised. Secure distribution and approval lists can be created at the click of a button. These then determine who can approve, edit or simply view the documents concerned.
- Security templates provide complete control over each user's menu options.
- Encrypted passwords are used for logging in to the system and as an electronic signature for, say, approving documents and acknowledging their receipt.
